Introduction
A gym looks simple from the outside: people sign up, pay monthly and turn up. Behind the front desk it is a recurring-billing business with freezes, upgrades, failed payments, class capacity, trainer schedules, a small retail counter and often a café. That is a lot for a spreadsheet and a card machine.
Odoo for gyms and fitness studios gives you the business side in one system: memberships and recurring invoices, class and trainer booking, point of sale, marketing and accounting. This guide shows how the standard apps cover a gym, where a dedicated gym module helps, and what to plan for around check-in and door access.
The problems gym owners actually face
- ✓Failed and late payments that nobody chases consistently.
- ✓Renewals and expiries tracked on paper or in a sheet, so members lapse without a nudge.
- ✓Freeze, pause and upgrade requests handled by hand, with invoices that have to be corrected later.
- ✓Overbooked or empty classes because bookings are taken by WhatsApp, phone and walk-in.
- ✓Trainer pay disputes because sessions and commissions are counted manually.
- ✓No view across branches of which plans and classes actually make money.
How Odoo covers a gym
- ✓Membership plans and recurring invoices — Subscriptions or Membership: Plans, automatic invoicing, renewal reminders
- ✓Enquiries and trial passes — CRM: Track walk-ins, ads and referrals to joined members
- ✓Class and trainer booking — Appointments, Events or a gym module: Schedules, capacity limits, online booking
- ✓Front desk and shop — Point of Sale: Sell drinks, supplements and day passes
- ✓Stock — Inventory: Reorder supplements, merchandise and consumables
- ✓Staff and trainers — Employees, Payroll: Contracts, attendance, session-based pay
- ✓Marketing — Email Marketing, SMS: Renewal offers, win-back campaigns
- ✓Finance — Accounting: Invoices, payments, branch-level reporting
- ✓Which subscription or membership app you choose depends on your pricing structure. Odoo's standard apps handle fixed recurring plans well. Check which of them sit in the Enterprise edition when you plan your licences.
The membership lifecycle in Odoo
- ✓Walking through a member's journey shows where the system saves time:
- ✓Enquiry. A website form, call or walk-in becomes a CRM lead with a source tag, so you learn which channel brings members who stay.
- ✓Trial. Book a free session or day pass. Follow-up tasks remind the sales desk to call.
- ✓Join. Select a plan. The invoice is generated, the first payment is recorded and the next renewal date is set.
- ✓Attend. Members book classes or sessions and check in.
- ✓Renew, freeze or upgrade. Renewals invoice automatically. A freeze or upgrade is a change to the plan, not a manual credit note.
- ✓Win back. Lapsed members land in a segment for a targeted email or SMS offer.
- ✓The measurable results are simple ones: fewer unbilled members, fewer disputes at the desk, and a clear list of who is about to lapse this week.
Class scheduling and trainer bookings
- ✓Standard Odoo can take bookings through its appointment and events tools, with capacity limits and online booking pages. For a studio with recurring weekly classes, waitlists, class packs and instructor substitution, the standard apps need configuration, and sometimes a gym-specific module.
- ✓Third-party gym management modules exist on the Odoo Apps store and from specialist vendors, covering things like member registration, workout plans, attendance and plan-expiry reminders. They vary in quality and in which Odoo versions they support, so treat them like any software purchase: check the publisher, the supported version, the update history and how it behaves with your Odoo upgrades.
- ✓Our usual advice:
- ✓Single-site gym with simple classes — start with standard apps and add a module only for gaps you can name.
- ✓Studio brand with packs, waitlists and many instructors — scope a gym module or a small custom build early, since booking rules drive the member experience.
Front desk, retail and café with Point of Sale
Odoo Point of Sale runs the counter: day passes, drinks, supplements and merchandise, with stock updating as you sell. Because POS shares the database with memberships, staff can look up a member, apply plan-based discounts, and charge to an account. Receipts and daily cash-ups feed accounting directly.
Check-in and door access: plan for it early
- ✓This is the part gym owners often forget. Odoo does not ship with turnstile or RFID controller support. If you want a member's card, QR code or fingerprint to open the door only when the plan is active, you need an integration between your access hardware and Odoo, typically through the hardware vendor's API or a small custom connector.
- ✓Ask these questions before you buy hardware or software:
- ✓Which system is the source of truth for "is this member active"?
- ✓What happens at the door if the connection drops?
- ✓How quickly must an expired or frozen status take effect?
Trainers, payroll and commissions
Odoo Employees and Payroll can hold trainer contracts, attendance and pay rules. If trainers are paid per session or earn a commission on personal-training packs, set that rule up during implementation, not afterwards. Payroll rules built on a clean session record are far easier to audit than a month-end spreadsheet.
Reporting across branches
With each branch as a company or analytic account, you can compare membership counts, revenue per plan, class utilisation and retail margin side by side. HireBeans also adds AI agents to Odoo, so a manager can ask "Which memberships expire in the next 14 days?" or "Which branch had the lowest class attendance last month?" and get a ready table instead of building a report.
